Privacy Policy

Account information. When you create an account, we collect information such as your name, email address, and organization name.

Billing information. Payments are processed through a third-party payment processor. Adaptive Flow Health does not store your full payment card details. We may retain transaction records and billing history as needed for account management and legal compliance.

User content and customer data. Adaptive Flow Studio is designed for operational data. We store the data you upload, paste, save, and create — including charts, dashboards, workspaces, notes, and datasets — to provide the service. You are responsible for the content you submit. See our Data Use and HIPAA Notice for guidance on appropriate data use.

Usage data. Adaptive Flow Studio records a fixed list of operational events (for example, that an upload succeeded) to operate, maintain, and improve the service. These events contain no user identity, IP address, or customer content.

Device and browser information. Our hosting and sign-in providers record standard technical information, such as IP address and browser type, in security logs. We use these logs only to protect the service and investigate security events, and we keep them for a limited period.

If you request a demo on this website, we collect the details you enter: your name, work email address, organization, role, the number of seats you are considering, and anything you tell us about what you would like to see. Role and the note about what you would like to see are optional. Please do not include patient information.

The website sends your request to us as an email through Microsoft Azure Communication Services. We do not store it in a database on the website. We use it only to reply to you and arrange your demo. We do not add you to a mailing list or share your request with anyone else.

We keep the request in our email for as long as it is useful to follow up with you, and we delete it on request. To ask, email sjahnke@adaptiveflowhealth.com.

If you download the Adaptive Flow Studio user guide from this website, we collect the details you enter: your name and work email address, and your organization and role if you give them. We also record when you downloaded the guide, which version you received, and the notice shown beside the download button. Please do not include patient information.

We store these details in Microsoft Azure Table Storage, in our own Azure account. The website also emails them to us through Microsoft Azure Communication Services when you download the guide, and again in a weekly summary of that week's downloads.

Downloading means we may contact you. By downloading the guide, you agree that Adaptive Flow Health may contact you about Adaptive Flow Studio. We use your details only for that. We do not sell them or share them with anyone else. If you no longer want to hear from us, reply to any message from us or email sjahnke@adaptiveflowhealth.com, and we will stop.

We keep the download record for two years from the day you download the guide; a weekly job then deletes it automatically, so it may last up to a week longer. The emails it sent us stay in our email until we delete them. We delete both on request; to ask, email sjahnke@adaptiveflowhealth.com.

Cookies we use. The Adaptive Flow Health website sets no cookies. The Adaptive Flow Studio platform sets cookies necessary to keep you signed in and to operate the service. These cookies are required for the platform to function and are not used for advertising.

Analytics. On our public website we count how many times each how-to video is played, by video, language and day. We set no cookies and record nothing that identifies you: no IP address, browser details or identifier is stored with the count, and no third-party script is used. Your browser remembers, for the current tab only, which videos it has already counted, so a replay is not counted twice; that note stays in your browser. Adaptive Flow Studio itself uses no analytics, advertising, or tracking tools. The product records a fixed list of operational events (for example, that an upload succeeded) that contain no user identity, IP address, or customer content. If we ever add an analytics tool, we will update this policy before it is used.

Most browsers allow you to control cookie settings. Some features of the platform will not function correctly without cookies.

You retain ownership of the data you submit. We process it only as needed to provide the service. We do not sell customer data to third parties for advertising or marketing purposes.

We may use aggregated or anonymized usage information to improve the platform, in ways that do not identify individual customers, users, or patients.

Adaptive Flow Studio relies on third-party providers for hosting, payment processing, authentication, and related services. These providers are selected for reasonable reliability and security standards. Your data may be processed by these providers as necessary to operate the service.

We do not sell your data to third parties for advertising or marketing. Use of the platform may also be subject to applicable third-party terms.

We retain your account and customer data while your account is active.

For thirty (30) days after an account is cancelled or terminated, we will export the account's customer data on the account owner's written request and deliver it securely. After that window — or earlier, if the account owner requests deletion in writing — we delete the account's customer data from the production database within thirty (30) days. Copies in database backups are not deleted individually; they expire as backups age out under our backup retention period of thirty-five (35) days.

We may retain transaction records, billing history, and other records we are required to keep by law after customer data has been deleted.

These commitments survive any acquisition or change of control of Adaptive Flow Health. If we discontinue Adaptive Flow Studio, we will give customers at least ninety (90) days' notice before the service is shut down, and customer data will remain available for export throughout that period. The same commitments appear in Section 12 of our Terms of Service.

By default, Adaptive Flow Studio — including the self-serve and preview experience — is not configured for Protected Health Information (PHI). PHI may only be used in approved workspaces where Adaptive Flow Health and your organization have the appropriate agreements (including a Business Associate Agreement where required) and safeguards in place. Do not upload, paste, save, or process PHI unless your workspace has been approved for it.

Adaptive Flow Health uses reasonable administrative, technical, and organizational safeguards to protect the platform and customer data. No system is completely secure. You are responsible for protecting your login credentials, managing authorized user access, and notifying us promptly if you suspect unauthorized access.

You may update or correct your account information by contacting us. You may request deletion of your account and associated data, subject to legal retention requirements. Depending on your location, you may have additional rights under applicable privacy laws, such as the California Consumer Privacy Act. We will make reasonable efforts to respond to requests within a reasonable time.

Adaptive Flow Studio is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from minors. If you believe we have inadvertently collected such information, please contact us.

We may update this Privacy Policy from time to time. Material changes will be posted on our website or communicated through other reasonable means. Continued use of the platform after updated terms become effective means you accept the updated Privacy Policy.
