Getting started

What is Adaptive Flow Studio?

A shared workspace for improvement work: your operational data, SPC charts, driver diagrams and PDSA cycles in one place. It’s built for healthcare quality and operational improvement teams, analysts and consultants.

Do I need to know statistics?

No. The Chart Lab’s “Which chart?” guide helps you pick a chart, every setting is in plain words, and signals are labeled on the chart.

How do I get started?

Sign in at studio.adaptiveflowstudio.com, name your account, and create your first Studio. Start with one seat and add people when you’re ready.

Charts and improvement tools

Which charts can I make?

Run charts, I charts, X̄-S charts, P and P′ charts, U and U′ charts, C charts, Pareto charts and scatter plots. You can also compare groups on one chart, or see a chart split by group.

Which signal rules does it use?

On control charts, two: a point outside the control limits, and a shift of eight or more points in a row on one side of the center line.

Is it only charts?

No. Driver diagrams link each measure to its live chart, and PDSA cycles keep the plan, the prediction and what you learned beside the data.

Your data

What files can I upload?

CSV and Excel (.xlsx) files. For Excel, you pick the tab and confirm the header row.

Is there a limit on data?

Uploads have no row limit, and a dataset can keep growing month after month. Add as many Workspaces as you need; only seats are paid for.

How do I keep data current?

Open the dataset and choose Update data: add more rows, replace the contents, or correct rows that already exist.

Can I get my data and charts out?

Yes. Charts download as PNG images, one at a time or a whole Board at once. Datasets export as CSV (up to 100,000 rows) and PDSA worksheets as Word documents. A full export of your account is available on request.

What happens to our data if we leave?

For 30 days after a subscription ends, the Account Owner can ask us for an export. We then delete the data within 30 days, or sooner on written request, and backups expire within 35 days. See the Terms.

Teams and sharing

How do I bring my team in?

Invite people by email to a Studio, Workspace or Board and give each a role. A role on a Studio reaches every Workspace and Board inside it.

What can each role do?

Co-owners manage the place and who has access. Editors build and edit. Viewers read, drill into records, comment and export. Previewers look only: no drill-down, exporting or comments.

Seats and pricing

How much does it cost?

$45 per seat/month, billed annually at $540, or $69 per seat billed monthly. Every seat includes the whole product.

Who needs a seat?

Everyone who uses Studio, except look-only Previewers, who each use a quarter of a seat of the account that gives them access. One seat works in every Studio a person is invited to.

What is look-only?

Access for people who only need to look. They open what they’re given as Previewers, without drill-down, exports or comments, and each uses a quarter of a seat of the account that gives it, so one seat covers up to four of them. On Team, the Account Owner can switch people with a seat who only look to look-only, which frees three quarters of a seat each; the bill changes only if you lower the seat count. See how seats and access work.

Who pays when I invite someone?

Your account pays for a seat only when someone accepts and needs one. If none is open, they get 14 days of access while the Account Owner decides. Someone invited only as a Previewer gets look-only access instead if a quarter of a seat is free. You can also invite people to fund their own seat; a Previewer still uses a free quarter of a seat first. See how seats and access work.

How does the free trial work?

New subscribers get 14 days free. A payment method is required to start; nothing is charged during the trial, and your subscription starts when it ends unless you cancel first.

Can we pay by invoice, or buy more than 50 seats?

We can arrange invoice or purchase-order billing, and organizational licensing, by agreement. Contact us.

Can I cancel any time?

Yes. Access continues to the end of the period you’ve paid for; fees aren’t refundable.

Security, privacy and HIPAA

How do people sign in?

Through Microsoft Entra, with an email and password, Google, or a personal Microsoft account, and multi-factor authentication is required for everyone. Organizations that use Microsoft Entra ID can set up single sign-on with us.

Where is our data stored?

On Microsoft Azure in the United States (East US 2 region), backups included. It’s encrypted in transit (TLS 1.2 or higher) and at rest (AES-256). More on security.

Is our data kept separate from other customers’?

Yes. Each account’s data is isolated in the database with row-level security, which denies access by default and is tested on every code change.

Who else handles our data?

Two subprocessors: Microsoft (hosting, sign-in and email) and Stripe (billing). Card details go to Stripe and never reach our systems.

Can we upload patient data (PHI)?

Only in a workspace we’ve approved in writing, with a signed Business Associate Agreement in place. Everywhere else, each upload confirms it contains no PHI. Contact us to discuss your use.

Do you use AI, analytics or tracking?

There’s no AI in Studio, and your data never trains any model. Studio has no analytics, advertising or tracking tools, and this website sets no cookies and counts only anonymous video plays.

Help

How do I learn to use it?

The Learn page has short videos of the real product, one task each, in English, Spanish, French and German. Studio itself is in English.

How do I get help?

Use Report a problem in Studio, under your name in the sidebar, or email us. A founder reads and answers every message.

Which browsers and devices work?

Current versions of Chrome, Edge, Firefox and Safari on a laptop or desktop. There’s no mobile app, and charts are easiest to work with on a larger screen.
